Overview:
Outlook WEB Access is a simplified method of accessing
your LACCD e-mail when away from the office. All
that is required is that you have Internet access
on your home PC, you have a valid LACCD network account
(name/password), and use the LACCD Exchange Outlook
e-mail system. It
may be beneficial to print these instructions before
trying this for the first time:
Instructions
For Use:
· Once
connected to the Internet, enter your Outlook Web Mail address (check the URL with your campus LAN administrator if you don't know it).
· This
will take you to the initial LACCD e-mail screen
where you will enter your network name (usually the
first 6 characters of your last name, followed by
your first & last initial) in the indicated box. Ignore
the Public Access option that is shown
below the network name entry box.
· Next,
you will see a new security screen requesting you
to enter your network name (again), followed by your
current network password.
Reading
Messages:
· The
next screen you will see will be your e-mail in-box
of messages.
· Position
the pointer on the desired message and click once
to read the message.
· When
you are done reading the message, click the Close
button in the upper-right area of the screen to return
to your in-box.
Replying to Messages:
· While
reading a message, click once on the Reply icon (left-most
icon on the tool bar) to reply to only
the originator, or click on the Reply All
icon (second left-most icon on the tool bar) to reply
to all addresses contained in the
message.
· Type
your message into the area above the reply separator. When
you have completed your response, click on the Send
icon located on the upper-left part of the tool bar.
Deleting Messages:
· While
viewing your in-box of messages, mark the message
to be deleted by clicking in the small check-box
located to the left of the desired message. This
will place a checkmark in the box, marking it for
eventual deletion. Before
signing off, click on the check-mark icon located
in the tool bar (Delete marked items) to permanently
delete all those messages containing checkmarks.
Sending Messages:
· While
in the initial 'in-box' view, click on the "Compose
new mail message" icon (it's the left-most icon
located in the upper-left section of the horizontal
icon list). Do not use the "Find Names" icon located in the
left vertical row of icons.
· The
new display will show a view of the message addressing
section.
· Click
into the To: box, enter the few first
characters of the person's last name, then click
on the "Check Names"' icon located in the
upper icon list (it looks like a profile of a face,
with a check-mark next to it). If
there was a single match, click the OK button
next to the comment "Ambiguous Recipients." If
there were multiple matches, click the bullet next
to your preference, then click "Accept These
Choices."
· If
you want to address this message to more people,
just place a semi-colon after the previous listed
name in the "To" area, or enter a new partial
name in the "Cc" section, then repeat the
process above, clicking "Accept These Choices" after
each name look-up is made.
· When
addressing is complete, begin typing your message,
and then click the "Send" icon (left-most
icon in the upper row) when it's ready to go.
Sending a Blind Carbon Copy
(BCC):
To send a 'blind' message to someone (other recipients
will not see this name):
· While
in the initial 'in-box' view, click on the "Compose
new mail message" icon (it's the left-most icon
located in the upper-left section of the horizontal
icon list).
· The
new display will show a view of the message addressing
section.
· Before
typing anything, click on the Options folder tab
· Check-mark
the "Show Bcc" box
· Click
on the Message folder tab
(begin addressing and doing name look-ups as noted above)
Signing Off:
· Click
the Log Off icon located in the lower-left vertical
list of icons. For
security reasons, its recommended that you
always close your browser and restart it if you wish
to continue using the Internet.
Sending
to an LACCD Mailing List:
In order to send a message to
one of the pre-established LACCD mailing lists, you
need to know the exact name of the list. Since
there are about 50 mailing list names that change
frequently, you should make your own short list of
the names that you may need to use.
Use
the same procedure noted above in Originating
(sending) a Message. But,
instead of entering a persons last name, just
enter the mailing list name, always preceded with
a #- (such as #-Presidents or #-Senior
Staff) into the To:addressing field.
